Understanding Missing Cash is important for keeping accurate sales records and avoiding unnecessary fees. This page explains what Missing Cash means, how EvoLux calculates it, and the most common reasons why it may appear in your clock-out report.
Missing Cash means that the total dollar amount of sales reported during your shift is lower than the minimum expected sales based on the number of frames sold.
During every shift, photographers report:
Frames count at the beginning of the shift
Frames count at the end of the shift
If there were no free frames given to managers, no damaged frames, and no lost frames, then: Frames at End − Frames at Beginning = Total Frames Sold
EvoLux expects that every frame sold has a corresponding transaction (card or cash).
When you clock out, EvoLux checks the following numbers:
1️⃣ Total Frames Sold:
This is calculated from the frame count difference between the start and end of the shift.
2️⃣ Card Transactions
EvoLux automatically reads your card transactions, which you can also see in your Card Sales Breakdown. These numbers should match your Square transactions.
3️⃣ Frames Sold via Card
Each card transaction corresponds to a certain number of frames sold.
4️⃣ Frames Sold via Cash
If some frames were not paid by card, EvoLux assumes those frames were sold for cash.
So the system calculates:
Cash Frames = Total Frames Sold − Frames Sold via Card
5️⃣ Minimum Expected Cash Sales
Each location has a minimum frame price.
Currently in Atlanta the minimum price is $15 per frame.
To calculate the minimum expected cash sales, EvoLux multiplies:
Cash Frames × Minimum Frame Price
6️⃣ Compare With Reported Cash
If the cash you reported is lower than the minimum expected amount, EvoLux shows:

Sales Fee (70% of missing cash)
Missing cash usually happens because of one of these situations:
1️⃣ Incorrect charge
Example:
Guests received 4 frames, but were charged for 3 frames (missing cash is $15). Or guests received 4 frames, but were charged (cash or card) $50 insted of $15 * 4 = $60 (missing cash is $10).
2️⃣ Lost frame(s)
A frame was lost during the shift but the photographer did not notice it. This is actually the most common reason.
3️⃣ Unapproved discount
A discount was given without approval in the work chat.
4️⃣ Lost cash
Cash bills were misplaced or lost.
5️⃣ Incorrect cash reporting
Cash sales were reported incorrectly in EvoLux, intentionally or unintentionall.
Let's look at a real example.
Frames at beginning: 833
Frames at end: 844
Total frames sold:
844 − 833 = 39 frames
EvoLux expects transactions for 39 frames total.
The card transactions were:
$75 (5 frames) × 1
$60 (4 frames) × 1
$45 (3 frames) × 3
$30 (2 frames) × 2
$20 (1 frame) × 4
Total frames sold via card: 5×1 + 4×1 + 3×3 + 2×2 + 1×4 = 26 frames
Total frames sold: 39
Frames sold by card: 26
So EvoLux expects: 39 − 26 = 13 frames sold for cash
Minimum frame price in Atlanta: $15
Expected cash sales: 13 × $15 = $195
Photographer reported: $170 cash sales
Difference: $195 − $170 = $25 Missing Cash
When missing cash appears, EvoLux applies a Sales Fee of 70%.
Calculation: $25 × 70% = $18 fee
Always make sure that:
Every frame given to guests has a matching transaction
Discounts are approved in the work chat
Frames inventory is accurately counted
Cash is reported exactly as received
This helps keep reports accurate and prevents Missing Cash and Sales Fees.
